Privacy Policy

High Response Strategy (OPC) Private Limited ("Company," "we," "us," or "our") operates The CEO CRM (the "Service"), a cloud-based sales CRM available at theceocrm.com. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By creating an account or using the Service, you agree to the collection and use of information as described here.

1. Information We Collect

1.1 Account Information

When you or your organization registers, we collect your name, business/company name, email address, phone number, and a hashed password. If you invite team members, we collect their name, email, and role.

1.2 Customer & Business Data You Upload

The Service is a CRM — you and your team may enter leads, contacts, deals, tasks, notes, invoices, and similar business records ("Customer Data"). This data belongs to you; we process it only to operate the Service on your behalf, as described in Section 3.

1.3 Payment Information

Subscription payments are processed by Razorpay and/or Stripe. We do not store your card, UPI, or bank account details on our servers — payment processors handle and store that information under their own security and privacy standards.

1.4 Communications Data

If you connect WhatsApp (via the Meta Cloud API), email, or Zoom features, we store the message/meeting metadata and content needed to display your conversation and calendar history inside the Service.

1.5 Usage & Device Data

We automatically collect log data such as IP address, browser type, device information, pages visited, and timestamps, along with cookies necessary to keep you signed in and remember your preferences (e.g., light/dark theme).

2. AI Processing Disclosure

Certain features (AI Command Center, Employee Directives, Daily Briefings) send relevant Customer Data — such as deal notes, activity logs, and KPI figures — to our third-party AI processing provider's API to generate analysis, scores, and recommendations. This data is transmitted securely and, per that provider's API terms, is not used to train its models. You can ask your administrator to disable AI features for your account if you prefer not to use this processing.

3. How We Use Information

  • To provide, operate, and maintain the Service, including hosting your Customer Data and rendering your dashboards, pipeline, and reports.
  • To generate AI-powered insights, directives, and briefings as described above.
  • To process subscription billing, send invoices, and manage your plan.
  • To send transactional emails/WhatsApp messages (login alerts, reminders, billing notices, support responses).
  • To provide customer support and respond to inquiries.
  • To monitor, secure, and improve the Service, and to detect fraud or abuse.
  • To comply with legal obligations.

4. Third-Party Service Providers

We share information with the following categories of processors, solely to deliver the Service:

  • Razorpay / Stripe — subscription billing and payment processing.
  • Our AI processing provider — AI-generated analysis, directives, and briefings (see Section 2).
  • Meta (WhatsApp Cloud API) — sending/receiving WhatsApp messages you initiate through the Service.
  • Zoom — syncing meetings you connect via Zoom OAuth.
  • Our hosting provider — server infrastructure that stores the application and your data.

We do not sell your personal information or Customer Data to third parties, and we do not share it for third-party advertising purposes.

5. Data Security

Passwords are stored using one-way hashing. Data in transit is encrypted via HTTPS. Access to production data is restricted to authorized personnel on a need-to-know basis. While we take reasonable technical and organizational measures to protect your information, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

6. Data Retention

We retain your account and Customer Data for as long as your subscription is active. If your account is cancelled or suspended, we retain the data for up to 30 days (to allow reactivation), after which it is permanently deleted from our production systems, unless a longer retention period is required by law.

7. Your Rights

You may access, correct, export, or request deletion of your personal information and Customer Data at any time by contacting support@theceocrm.com. Account owners can also directly edit or delete most records from within the Service.

8. Cookies

We use strictly necessary cookies for authentication (keeping you logged in) and to remember interface preferences. We do not use third-party advertising or cross-site tracking cookies.

9. Children's Privacy

The Service is intended for business use by individuals 18 years of age or older. We do not knowingly collect information from children.

10. International Data

Our infrastructure and support team are based in India. If you access the Service from outside India, your information will be transferred to and processed in India.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above. Continued use of the Service after changes constitutes acceptance of the revised policy.
